It's free, its robust, its collaborative.

Sound good, but what does that mean? Google provides the Google Apps facility free to all registered state funded institutions.  We say it's robust - because compared to old fashion PCs with say Microsoft Windows (and particularly when combined with Google Chromebooks) is very low maintenance as there are no servers and no viruses to be bothered with. We have helped several schools implement Google apps and we confidently say it's collaborative because it's the most amazing system when you see your children and students working together on a shared document, drawing or spreadsheet.

Why do teachers love Google Apps?

Running a school or college these days is very difficult, there are multiple sources of stakeholders and information to deal with. Google apps makes collaboration and communication easy - a smartphone like an iPhone or android device works very well with Google apps and the teacher can remain connected all the time (if they want to be). Compared with typical email system is used in education this Google system is much more reliable, speedy and robust.

  3. How secure is Google apps for Education?

Security for everyone is a big issue especially in a school environment where as teachers and administrators we have a duty of care towards our students. In our experience, Google apps for education is extremely secure. In addition,  Google have the option to put into place 2 factor-authentication which means that it is extremely difficult for anyone to access your accounts.

Google Apps for Education includes dozens of critical security features specifically designed to keep education data safe and secure. The data belongs to you, and Apps tools enable full control of it, including who it is shared with and how it is shared. Google data center network provides exceptional security and guarantees including reliable access to data, 24x7x365.25 (that’s right: no rest, even on leap years).

It's up to you, you can use it with a normal username and password or you can secure it by using so called two factor authentication. Google Apps offers an extra layer of security with two factor authentication, which greatly reduces the risk of hackers stealing usernames and passwords. Google also automatically encrypt browser sessions with SSL for Apps users without the need for VPNs or other costly, cumbersome infrastructure. This helps protect students and teachers’ data as it travels between the browser and Google’s data centers.

In techno speak, several banks are using this in the US because Google Apps is SSAE16/ISAE 3402 Type II SOC II audited. In Europe - BBVA Google apps is also ISO 27,001 certified which is the world recognised International Security management system.

No, you can continue using Microsoft Office in conjunction with Google apps for Education.

  14. I have my own Google account. Will this replace it?

No. If you wish to use Google for personal email or document sharing, we would recommend that you have a separate, personal account. In practice, this works well and there is a clear separation between work documents and personal documents. There is little difference in functionality between the personal and educational versions.

Why should you choose Google Apps over Microsoft Office 365 for education?

  24. ie..Google Apps Versus Microsoft 365?

Microsoft 365 is undoubtedly a good competitor to Google apps. It is built on similar principles based around the Microsoft office package. We have tested and helped set-up both systems. You should consider Google though because it is a much more flexible system relying almost entirely on a web browser (rather than difficult to manage) installed software. It gets  frequent updates. Its collaboration services are very flexible and on the whole, superior to the Microsoft experience. Finally, depending on which country you are in  Google is entirely free to bona fide educational institutions.

Many schools even find that children are able to bring their own devices and get going for example on Android phones using Google Drive to create documents. This is a lot harder in the Microsoft ecosystem world of 365, where a greater level of end-point power is required.
