Google Sites - Site Sharing and Visibility Options

Google Sites has a new Sharing interface and sharing options: you can now make your site publicly accessible but not indexed by search engines.  You can still invite people who can edit the site, view the site and site owners.

Overall Site Sharing

Instructions - Accessing the Sharing Settings

You can get to the Sharing and Permissions in three ways:

  1. Use the blue Share button; 

  2. Use the More button, then Sharing and Permissions; 

  3. Use the keyboard shortcut Shift+S 

Instructions - Make Site Public and Searchable

  1. Access the Sharing and Permissions

  2. Use the Change link at the top of the list under Permissions to display the Visibility options

  3. Choose Public on the web and use the Save button

  4. Use the Close button to return to the site

Instructions - Make Site Public but Not Indexable by Search Engines

  1. Access the Sharing and Permissions

  2. Use the Change link at the top of the list under Permissions to display the Visibility options

  3. Choose Anyone with the link and use the Save button

  4. Use the Close button to return to the site

Instructions - Make Site available to Domain users and Searchable (Google Apps only)

  1. Access the Sharing and Permissions

  2. Use the Change link at the top of the list under Permissions to display the Visibility options

  3. Choose Domain (your domain name) and use the Save button

  4. Use the Close button to return to the site

Instructions - Make Site available to Domain users and Not Searchable (Google Apps only)

  1. Access the Sharing and Permissions

  2. Use the Change link at the top of the list under Permissions to display the Visibility options

  3. Choose People at Domain with the link and use the Save button

  4. Use the Close button to return to the site

Instructions - Make Site Private

  1. Access the Sharing and Permissions

  2. Use the Change link at the top of the list under Permissions to display the Visibility options

  3. Choose Private and use the Save button

  4. Use the Close button to return to the site

Instructions - Enable Sharing Outside the Domain (Google Apps only)

  1. Access your Google Apps domain Control Panel
    (http://www.google.com/a/example.com where example.com is your domain)

  2. Use the Settings tab and then choose Sites

  3. Choose one of these two options

    • Users can share outside [Domain], but will receive a warning each time

    • Users can share share sites outside [Domain] (without any warning)

  4. Tick Users can make Sites public

  5. Use the Save Changes button (it appears at the bottom of the page)

Invite People to the Site

Instructions

  1. Access the Sharing and Permissions

  2. In the Add People box enter the e-mail addresses of those you want to invite to the site (or use the Choose from contacts link to choose people from your contacts)

  3. Choose from the drop-down box one of these access levels:

    • Is Owner - this gives full site-wide access to the site to the invited user can: delete the site; change the site theme; change the site layout; map a web address to the site; enable Google Analytics; enable Google Webmaster Tools; all other site-wide options; create, edit and delete all pages and perform all other page-level functions.

    • Can Edit (formerly Collaborator) - this gives full page-level access to the site to the invited user can: create, edit and delete all pages; change page templates; move pages and view all pages.

    • Can View (formerly Viewer) - this allows the invited user to view all pages.

  4. Choose if you wish to Notify people by e-mail and if so enter a message to the users (optional).

  5. Choose whether to Send a copy to myself of the invitation.

  6. Use the Share button to invite the people.
